Next to public relations and educating people on the Coe Volunteer Clearinghouse, the forms became the nuts and bolts of the operation and structure.
Below are just a few of the forms that were created. While the program was just starting out, thought was given to future growth needs so the forms and structure would have some longevity. Interest or skill areas were each given a number and each volunteer, whether group or individual, and each agency was assigned a unique identification number. In there entirety, the forms were not only physical tools, but helped define the operating procedure of the CVC.
Each form was a different color to aid in the visual distinction and organization of information.
Half of the program was creating a database of volunteer opportunities.
This form allowed agencies to submit their volunteer needs and the requirements for fulfilling them. Students could look through the requests for things that interested them, but the real power to the system came with the combination of this information and the information gathered from the next form.
The other half of the program was creating a database of volunteers.
This form was designed for both individual volunteers and campus organizational groups that may have wanted to volunteer as an organization. With the information from the VRF, CVC could help volunteers by matching up opportunities that matched their interests and availability.
Eventually, my goal was to automate the process by logging requests and interests electronically.
Along with serving the communities volunteer needs, I wanted to make sure the agencies were satisfied.
An agency evaluation form allowed for feedback anytime volunteers served a need.
Likewise, an evaluation form was given to the volunteer.
This would aid in assuring that our volunteers were satisfied with their experience as well. Some of the same questions were asked on both forms to allow comparison of answers and help identify any misperceptions.
